Moving from Pipedrive to HubSpot can make sense when your business needs connected marketing, sales and service data, broader reporting and more coordinated automation. The right decision depends on the problems you need to solve, the HubSpot subscription required and the cost of implementation.
Pipedrive gives sales teams a clear way to manage deals and keep their pipeline moving. If it supports the way your business works, there is no prize for replacing it.
The case for moving to HubSpot becomes stronger when the work around the pipeline gets harder. Marketing has one version of a contact. Sales has another. Customer handovers depend on someone remembering to send an update. Reporting involves joining spreadsheets before anyone can discuss performance.
These are the features we would assess first.
What does Pipedrive's restructuring mean for CRM buyers?
On 29 October 2026, Pipedrive CEO Paulo Cunha announced a proposed major restructuring. He also committed to continued investment in its core CRM and an AI-native sales system. His message described customers expecting software to capture information, recommend actions and carry out work.
That gives the “death of SaaS” debate a practical angle. Our view is that buyers should judge software by the work it helps them complete. Review your requirements carefully; the announcement alone is not a reason to migrate.
1. A CRM that connects sales, marketing and service
HubSpot's CRM provides a shared foundation for its marketing, sales and customer service tools. Contacts, companies, deals and tickets can sit within the same platform, with relationships between the records.
The practical opportunity is better context. A salesperson can work from a contact record linked to the relevant company and deal. A service team can work with customer information already captured during the sales process. Marketing can use CRM data to make its audiences more relevant.
That depends on which products you use, how records are associated and what your team logs or integrates. Buying HubSpot will not automatically bring every conversation into one view.
What to assess: choose a real customer and map the information each team needs. Check whether your proposed HubSpot setup makes that information available at the right point.
2. Sales workspace and AI-assisted prioritisation
HubSpot's Pipedrive comparison emphasises connected customer context, Sales workspace and guided selling. It is a vendor comparison, so treat it as a starting point for evaluation. Test the features against your own sales process and check current entitlements rather than relying on headline claims.
The updated Sales workspace brings together records and sales activities, including companies, leads, deals and tasks. It requires Sales Hub Professional or Enterprise, an appropriate assigned seat and Sales Access permissions.
HubSpot also provides AI-powered deal scores using CRM properties and activity signals to estimate the likelihood of winning open deals. These are guidance: a score can help you investigate an opportunity, but it should not replace a conversation with the salesperson or customer.
What to assess: ask a salesperson to plan their next hour using the proposed setup. Can they identify the right opportunities and understand why those need attention?
3. Marketing tools connected to the sales process
When enquiry capture, marketing activity and sales records live in separate systems, teams spend time deciding which data to trust.
Marketing Hub brings capabilities such as forms, marketing email and audience segmentation into HubSpot's wider platform. The depth of automation and reporting depends on the subscription.
For a business moving from Pipedrive, this can be a reason to reassess the surrounding marketing tools too. You might keep specialist systems where they add value and use HubSpot for the parts that benefit from a closer CRM connection.
For example, a demo enquiry could capture the prospect's main requirement alongside their contact details. Sales can then use that information when preparing its response, while marketing can build relevant audiences from the agreed CRM fields.
What to assess: follow one enquiry from form submission to a qualified opportunity. Look for duplicate entry, missing information and delays between teams.
4. Workflows that coordinate more of the process
Pipedrive already offers automation with triggers, conditions and actions. Automation alone is not a sufficient reason to migrate.
The useful question is which processes you need to connect.
HubSpot workflows can update records, create tasks, use delays and branches, and perform other actions according to the products and subscriptions available in your account. Full workflows generally require a relevant Professional or Enterprise subscription; individual actions have additional requirements.
A proposed setup might use an agreed qualification field to create a follow-up task. Another might use a won deal to start an internal handover process. Those are processes to design and test, rather than features to switch on without discussion.
What to assess: identify three recurring processes that currently require someone to chase, copy or check information. Work out whether HubSpot can simplify them at a sensible subscription cost.
5. Reporting across related CRM data
Pipeline reports help you understand what sales is working on. As the business grows, you may also want to understand which contacts, companies and activities are associated with those opportunities.
HubSpot's custom report builder can combine related data sources, including CRM objects, assets and events. It is available with specified Professional and Enterprise subscriptions.
The structure matters. A report built around contacts can produce different totals from one built around deals, especially where associations are missing. Good reporting starts with clear definitions and reliable relationships between records.
Choose the commercial question first. Perhaps you need to compare opportunity creation by lead source, review conversion between agreed stages or understand how different customer groups progress.
What to assess: write down five questions your leadership team regularly asks. Confirm the required data, report type and subscription for each. Advanced attribution should be scoped separately.
6. A supported route for moving your data
The features only matter if your team can keep working through the move.
HubSpot Smart Transfer supports Pipedrive, with mappings including people to contacts, organisations to companies and deals to deals. It also supports specified activity types and other data.
There are limits to scope carefully. A Data Hub subscription is required to transfer Pipedrive activities. HubSpot distinguishes email activities from logged emails and says logged emails are not transferred through that mapping. Attachments and certain relationships use a separate, one-time post-sync transfer.
The Smart Transfer setup guide also specifies Super Admin access and a Data Hub requirement for custom field mappings.
A migration plan should therefore cover records, associations, activity history, files and the processes you want to rebuild. Do not assume that business automations transfer unchanged with the data.
What to assess: test a representative sample containing an active deal, several associated contacts, custom fields, notes and activities before agreeing the final cutover.
Watch: how HubSpot's sales features work together
HubSpot Academy's official Sales Hub tutorial shows CRM records, Sales workspace, deal management and reporting. It was recorded in 2024, so screen layouts may differ from today's product. Use it for a practical introduction, then check current feature availability.

Frequently asked questions about moving from Pipedrive to HubSpot
Is HubSpot better than Pipedrive for every business?
No. HubSpot is worth considering when your needs extend across several teams and customer processes. A business with a well-managed sales pipeline and a small set of requirements may find Pipedrive continues to work well. Compare the complete proposed setup against your actual needs.
Can I migrate Pipedrive contacts, companies and deals to HubSpot?
Yes. HubSpot Smart Transfer supports mappings for people, organisations and deals. Scope activity history, attachments, custom fields and associations separately, because transfer methods and subscription requirements differ. Test representative records before committing to the full move.
Are all these HubSpot features included in the free CRM?
No. The free CRM is an entry point. Sales workspace, full workflows and custom reporting have paid subscription and access requirements. Define the capabilities you need, then confirm the relevant products, user access and usage limits before buying.
Will HubSpot's AI fix poor CRM data?
Treat reliable data as a prerequisite. Agree field definitions, ownership and record associations before relying on recommendations or scores. AI output still needs review, especially where a commercial decision depends on it.
How long does a Pipedrive to HubSpot migration take?
Timing depends on data quality, history, integrations, process changes and training. A useful project estimate follows an audit and sample migration. Set a cutover plan covering final data changes, team access and responsibility for resolving issues.
Plan your move around the features you need
A useful shortlist should connect each feature to a specific problem and a person responsible for using it.
Cost the whole proposed setup: subscriptions, user access, applicable usage limits, implementation, integrations and training. Then compare it with your current tools and the work needed to maintain them.
At Hey Rebels, we help businesses scope the move, clean and map their data, configure HubSpot and train the people who will use it. We start with the commercial problem and build the setup around it.
